Office change communication process Change is the only constant in business. Change has been and al- ways will be part of many organisations’ everyday life. It is often the case that leaders support change and work enthusiastically to introduce it in their teams, but implementation of change at or- ganisation level is quite a challenge. A challenge that cannot be faced on your own. You need a bigger group of followers whose positive attitude can boost the enthusiasm for and acceptance of change by the rest of the group. In this case, key success factors included openness and an honest information campaign about the reasons and purpose of the change, as well as a group of ambas- sadors: people who supported the change and liaised between project decision-makers and ordinary workers. Information about the office change was making rounds among employees. An agreement with a developer firm for the building was signed at the end of April 2018, so we could start off an inter- nal information campaign in May. May 2018 Start of communication: a video with Adam Krzanowski, President of the Board, announcing the office change plans. Project timeline May 2018 (end of) Appointment of a group of change ambassadors; presentation of the project group and a simplified project schedule. September 2018 Organisation of the first day of work in the new space: touring the office together, workplace walkthrough and consultation with a work ergonomics professional; an office warming party to inaugurate work in the new space. October 2018 – until now Ongoing communication with employees about office-related issues. June 2018 Setting up a mailbox for questions and suggestions; a 360° virtual tour starting at the welcome area of the new office; the first visualizations of the office space; the first meeting of the group of change ambassadors. July 2018 Publication of a 2D projection showing the design of the new office; photos of construction work in the office and a report on the status of construction and finishing works; posts featuring selected zones in the new office, eg. brainstorming room or focus room. August 2018 Relocation plan with guidelines for packing and logistics; visit of ambassadors in the new office during finishing work; a guide to the neighbourhood and driving directions to the new office, eg. car parks, public transportation, a locker room for cyclists, city bike rental points. 20
