21 Internal information campaign The first step was to appoint an internal communication team as part of the project group, whose task was to keep the employees of Kraków-based branches updated about the change process. All communication was delivered via the intranet, on our cor- porate portal for employees. A new tab called New Office Kraków was created, where we posted about the status of the project on an ongoing basis. Key information was also sent directly to the mail- boxes of employees working in Kraków. Our goal was to keep up continuous communication with employees, while departing from sending daily emails and excessive correspondence. We decided to let people in on the secret by publishing a 360° virtual tour showing a portion of office design on the intranet. General communication was carried out for a period of five months, May to September, ie. from the signing of a lease agree- ment until the first weeks of work in the new space. During that time, we published about 20 posts (see: Office change commu- nication process). The project team also prepared a guide to the neighbourhood for staff working in the office and those visiting from other loca- tions. It included key facts about the building, location, possible commute options as well as food and service outlets in the sur- rounding area. The guide was sent out to the staff before the re- location, so that they could become familiar with the building and the neighbourhood even before they physically showed up.
